An interesting and challenging opportunity has arisen for a high quality PA or EA to provide secretarial support to the Chief Executive of a busy Government body. The post requires a high degree of professionalism and diplomacy, excellent communication skills and the ability to take the initiative when required.
The Organisation: The Medicines and Healthcare products Regulatory Agency (MHRA) is the government agency which is responsible for ensuring that medicines and medical devices work, and are acceptably safe.
Purpose of Role: This is a busy and varied role as the post holder will provide secretarial support to the Chief Executive the Directorate team. You will be responsible for managing the Chief Executiveâs schedule, including the management of the Chief Executiveâs diary, arranging meetings and travel arrangements. Responsibilities include liaising effectively with internal and external customers on the telephone with a high degree of customer service and professionalism. Other key tasks include the preparation and collation of briefing material in a timely manner to ensure that the Chief Executive is prepared for meetings; the preparation of agendas, minutes of meetings and correspondence; audio and copy typing of minutes, letters and reports.
The Directorate is a small team whose main functions are to provide support to the Chairman and the Chief Executive, participate in and organise cross Agency projects and events and to provide a Secretariat for key Agency meetings, such as the Agency and Executive Boards. The provision of support to other Directorate team members is another vital component of this role.
Key Responsibilities:
- Receive, analyse and allocate all mail entering the Chief Executiveâs office.
- Organise the Chief Executiveâs travel arrangements and diary commitments.
- Set agendas, initiate/co-ordinate briefing for Chief Executiveâs meetings and speaking engagements as appropriate.
- Manage filing and correspondence
- Draft correspondence
- Be first point of contact for telephone calls to the office of the Chief Executive using your judgement to screen calls in an effective and diplomatic manner.
- Provide support for other members of the Directorate as appropriate
- Act as the Directorateâs lead for Business Continuity and Investors in People
- Preparation of agendas, minutes of meetings and correspondence; audio and copy typing of minutes, letters and reports.
